How to Approve or Reject a Document Template

How to Approve or Reject a Document Template

Before a document can move into the production environment, it must go through the approval process. As explained in the article How to Send a Document for Testing and Request Approval, only users with the Publisher role are authorized to approve or reject documents. The following section provides a detailed walkthrough of the approval steps.

1. When a Publisher opens the Testing environment, two actions will be available: Publish and Reject

2. If the document is production-ready and requires no further changes, click Publish to move it to the Production environment.
3. If the document needs corrections, click Reject. A modal will appear prompting you to add Rejection Comments explaining what needs to be fixed.

4. After entering the comments, click Confirm

5. An email notification will be sent to the user who requested the approval, informing them that the design was rejected and including the rejection comments. Note that even if multiple users worked on the document design, the rejection email is always sent only to the user who initiated the approval request

6. The designer can also view the rejection comments by clicking the View Comments button in the Testing environment.
