Reusing Content and Design in the Document Templates


WHAT ARE REUSABLES?
Reusable elements are components within a document that can include text, images, and various design elements, designed for repeated use. Once a particular design section is created, it can be saved for future use in different document templates. Such elements often include headers, footers, address sections, survey components, among others, allowing for consistent and efficient document creation.

HOW TO USE A REUSABLE?

To create a reusable element in the design area, select a group of design elements that you want to reuse. Right-click on the selected group and choose "Save as reusable element" option. Assign a unique name to the reusable element and select a category for it. This will save the selected section as a reusable element, which can be accessed later in the left panel.


To use the saved reusable element in a new document template, click on the elements in the left panel, which will take you to the "Reusables" tab. Here, you can see all the reusable elements created in the system. You can search for a reusable element using the search bar at the top, and drag and drop the reusable element into your document template to reuse the content.

The management of Reusables is decentralized, and you have the flexibility to make local modifications to the content once you add it to the design area.

WHAT ARE REFERENCED ELEMENTS?

Referenced elements are sections of content that are added to multiple documents and are maintained in a central location. These elements act as a reference for other sections in different documents, allowing for easy updates and changes to be made without the need for manual editing in every document. With referenced elements, you can create a single source of truth for your content, ensuring consistency and accuracy across all your documents. This feature is especially useful for large organizations or teams that need to manage a large number of documents and want to streamline the editing process.


HOW TO CREATE A REFERENCED ELEMENT?

To create a referenced element in the design area, select a group of design elements that you want to save. Right-click on the selected group and choose "Save as referenced element" option. Assign a unique name to the referenced element and select a category for it. This will save the selected section as a referenced element, which can be accessed later in the left panel.


To use the saved referenced element in a new document template, click on the element in the left panel, which will take you to the "elements" tab.  Click on referenced tab. Here, you can see all the referenced elements created in the system. You can search for a referenced element using the search bar at the top, and drag and drop the referenced element into your document template to reuse the content.

Please note that referenced elements can only be edited from a centralized location and will appear as read-only sections in local documents. To make changes to a referenced element, simply click on the edit icon located at the top of the referenced element section. This will direct you to the centralized location where the element can be modified. Any changes made to the element in this location will be reflected in all templates where the element has been referenced.
