The system features entities that house variables, defining all relevant data variables for your business. This ensures the consistency of variable naming across documents and enables their easy integration into the template.
To create a new variable, follow these steps:
1. Navigate to the “Manage Data Variables” option in the left-hand menu.
2. Click the “Add Entity” button in the top-right corner to create a new entity.
3. Once the entity is created, select it and click the “Add Variable” option.
You can also add variables to an existing entity by selecting the entity and clicking on the “Add Variable” option.
Variable Details:
Type: A variable can be either a string or a date.
Max Characters: Set a maximum character limit for the variable. If the input exceeds this limit, the document will not be printed.
Required Check Box: If this box is checked while creating the variable, the system will only allow the document to be printed if a value is provided for this variable. Otherwise, printing will be restricted.
Sample Value: Provide a sample value for the variable before saving. This value will serve as the default information displayed during a document preview.
After filling in all the details, click Save to add the variable to the selected entity.
