Approval Workflow in Smart Batch Studio
Perfect Doc Studio provides an Approval Workflow mechanism within Smart Batch Studio to ensure that batches are reviewed and approved before processing.
During batch submission, whether it is a:
Quick Batch
Standard Batch
Hybrid Mail Batch
users are provided with an option to send the batch for approval before the processing begins.
The approval process is role-based, and only users assigned with the required Approver Roles can review and approve jobs.
Smart Batch Studio supports the following two types of approval workflows:
Level Based Approval
Specific User Approval
1. Level Based Approval
Level Based Approval allows a job to pass through multiple levels of approval before the batch is processed for printing or email delivery.
A maximum of four approval levels can be configured:
JOB APPROVER L1
JOB APPROVER L2
JOB APPROVER L3
JOB APPROVER L4
How it Works
Select the required Approval Level during batch submission.
Click Submit to send the job for approval.
If a batch is assigned with Level 4 Approval, the job must pass through all previous approval levels (L1, L2, and L3) before reaching Level 4 approval.
A user assigned with only the JOB APPROVER L4 role can approve the job only after the earlier approval stages are completed.
If a single user is assigned with multiple approver roles (L1 to L4), the user can complete all approval levels in a single flow.
Notifications
All users assigned with the respective Level Approver roles will receive email notifications indicating that a job is pending approval.
2. Specific User Approval
Specific User Approval is used when a batch requires approval from a particular user instead of a level-based approval hierarchy.
How it Works
Select the Specific User Approval option during batch submission.
A dropdown list containing users with Approver Roles will be displayed.
Select the required approver and submit the batch.
